TERMS & CONDITIONS – Somatic Retreat Tepoztlán, Mexico

1. Booking & Payment
A full payment or non-refundable deposit of €600 is required to secure your place. The remaining balance must be paid in full 60 days before the retreat start date. Failure to do so may result in losing your reservation.
We accept online payments through our website and bank transfers. For bank transfer arrangements, please contact nastialavista@gmail.com.
If you wish to transfer your booking to another person, please notify us at least 15 days before the retreat start date.
All prices are fixed in EUR at the time of booking.
Payment plans available upon request.
2. Cancellation & Transfers
The €600 deposit is non-refundable under any circumstances. If you cancel more than 60 days before the retreat (before May 22), you will receive a refund of all payments made minus the deposit. If you cancel within 60 days of the retreat start date, no refund will be given.
However, you can transfer your booking to another person with at least 15 days notice. If you can't come, please let us know as soon as possible so we can assist you.
If the retreat is cancelled by the organizers, you will receive a full refund including the deposit, or you may choose a credit toward a rescheduled date.
There are no refunds for early departures, late arrivals, missed activities, last-minute cancellations and violation of house rules, among other unforeseen events. We strongly recommend purchasing travel insurance for any unforeseen circumstances.
3. Travel & Insurance
Participants are responsible for arranging their own travel to and from the retreat location. Details on group transfer options from Mexico City will be shared after booking. We strongly recommend purchasing travel insurance to cover unforeseen circumstances such as illness, flight cancellations, or emergencies. The retreat organizers are not responsible for any travel disruptions or delays.
4. Health & Dietary Requirements
Please inform us of any food allergies, dietary restrictions, or medical conditions that may affect your participation. A health and welcome form will be sent prior to the retreat to ensure we can accommodate your needs.
While we strive to accommodate dietary needs, we cannot guarantee a completely allergen-free environment. If you have a serious medical condition or are currently receiving treatment, please consult your healthcare provider before attending.
Participants with serious medical conditions must obtain written clearance from their healthcare provider before attending.
The organizers reserve the right to ask a participant to leave if their condition poses a risk to themselves or others.
Medical assistance is available in the nearby town if needed. In case of emergency, the retreat team will assist with coordination, but participants are responsible for any associated medical costs.
5. Nature of Services
This retreat is an educational and experiential program. It is not a substitute for medical treatment, psychotherapy, or professional healthcare. Anastasia Artamonova is a certified somatic practitioner, not a licensed therapist or medical professional.
The practices offered - including somatic bodywork, movement, and manual touch - are educational in nature. They are designed to support body awareness and self-regulation, not to diagnose or treat any medical or psychological condition.
6. Consent to Touch
Certain practices during the retreat involve manual touch and hands-on somatic techniques. Participation in these practices is entirely voluntary. You may opt out of or take pause from any practice at any time, for any reason, without explanation. Your boundaries will be respected at all times. A consent process will be established at the beginning of the retreat.
7. Emotional Response Disclaimer
Somatic practices may bring up unexpected emotional or physical responses. This is a normal part of the process and is not a sign that something is wrong. While we hold a supportive and safe space, the retreat team is not responsible for emotional responses that may arise during or after the experience. If you feel you need additional support, we encourage you to reach out to a qualified mental health professional.
8. Liability & Responsibility
Participants acknowledge that they take part in the retreat at their own risk. This includes the inherent risks of somatic bodywork, outdoor activities, ceremonial practices, and travel in a foreign country. The retreat organizers are not liable for any personal injury, illness, emotional response, loss, or damage of personal belongings during or after the retreat. Guests are responsible for respecting the property, staff, and other participants. Any damage caused to the venue or its facilities must be covered by the responsible guest.
If the lead facilitator is unable to attend due to illness or emergency, we reserve the right to provide a qualified substitute or reschedule. Guests who do not wish to proceed under these circumstances will be offered credit toward a future date.
9. House Rules
The retreat is a substance-free space - no alcohol, tobacco, or drugs are allowed on site at any time. This is a non-negotiable venue policy, and any violation will result in immediate removal from the retreat without refund.
A guest whose actions result in the venue terminating the event may be held financially responsible for losses caused to other participants and the organizers.
10. Program & Changes
The retreat schedule is subject to change due to weather conditions, availability of local ingredients, or unforeseen circumstances. We reserve the right to modify the itinerary to ensure the best possible experience for our guests.
11. Community Guidelines
We foster a respectful and inclusive environment. Any disruptive behavior may result in removal from the retreat without refund. Guests are expected to respect local customs, staff, and fellow participants.
12. Privacy & Photos
A professional photographer will be present throughout the retreat. Before you arrive, we'll ask about your consent preferences - whether you're comfortable with social media, website use, or group photos. If you do not wish to be photographed, let us know and we will respect your preference at all times. Your personal information and anything shared during sessions will always remain confidential.
Photo and video preferences must be submitted via the mandatory pre-arrival form. Attendance without completing this form implies consent to appear in retreat documentation.
13. Confidentiality
What is shared during group sessions and private practices stays within the retreat. All participants are expected to maintain confidentiality regarding other participants' personal experiences and disclosures. The retreat organizers will also keep your personal information and health disclosures confidential, except where required by law.
14. Force Majeure
In the event of extraordinary circumstances beyond our control - including natural disasters, pandemics, government restrictions, or severe weather - we may need to cancel or reschedule the retreat. In such cases, participants will be offered a full refund of all payments made or a credit toward a rescheduled date, at the participant's choice.
